House accounts are very useful for long-term clients that will require billing for items ordered from your organization. This is a popular feature when catering to schools, charities etc.
Steps to Create a House Account
Here are the steps by step instructions, with brief explanation of all parameters required while adding House Accounts.
Step 1: Log into your Plum POS account using manager or higher credentials from a desktop/laptop computer.
Step 2: Select Settings > App Settings > Plum POS
Step 3: Scroll down to the Site Settings and using the drop down, select the site the house account needs to be added to.
Step 4: Navigate into the module for House Accounts
Step 5: Once in the House Accounts module, select +Add in the upper right corner
Step 6: Fill in all the necessary fields *
Account Number: Users can enter an account number to be tracked.
Start Time: User needs to select Start Date & Time for this House Account to be Active
End Time: User can select End Date & Time for this House Account to be Active
Unpaid Balance: In this field user can enter starting unpaid balance the House Account
Limit: User can enter House Account Limit in this field to be used
Payment Overdue (Days): In the Payment Overdue (Days) field user can enter Days
Allow Tax Exemption: If this flag is set to True, then TAX will be exempted from such House Accounts while paying for the orders .
Tax Exempt ID: User is required to enter the Tax-Exempt ID for the processing of exemption to work
Primary Contact: These fields are mandatory fields. You must enter the main contact info for the client - typically the Accounts Payable representative.
Secondary Contact: This section is optional. It does come in handy if each account needs to have a specific department ordering from. Here you can add a coach, teacher, etc. to create multiple accounts if required by the client organization
Address: although this section is optional, it is strongly recommended to fill in these fields for billing purposes.
Once all fields are completed, you must select Save [Button] in the upper right corner.
Your new house account will appear in the list of House Accounts.
Transaction History
Transaction history is available in both the Summary Screen and the individual House Account detail screen.
On the Summary Screen, users can view all House Account transaction history under the "Transaction History" tab. This provides a comprehensive view of all transactions across accounts.
For a more specific view, users can navigate to a particular House Account Detail Screen. In this screen, users can see the transaction history for that specific House Account, displaying all related transactions.
On the Summary Screen, users can view all House Account transactions along with some summarized details. By default, the transactions for the current day are displayed. However, users can also view past transactions by selecting a specific date or a date range to see multiple days of transaction data.
Users can view the Total Unpaid Balance of all House Accounts for the store. By clicking on the "i" icon, the Order Details screen will open, displaying the complete details for each order.
In the Tools drop-down menu, there is an option labeled “Download PDF for Unpaid Statement”. Selecting this option allows users to download a PDF containing all unpaid statements.
On the House Account Transaction screen, users can send an Email of unpaid transactions directly to the customer and also include anyone in the CC field.
There is another option labeled “Download PDF for Unpaid Statement”. Selecting this option allows users to download a PDF containing all unpaid statements for the specific House Account.
In the Statement History, users can view the complete history of statements, including when emails regarding unpaid House Account transactions were sent to customers. Users also have the option to download the House Account statement history in PDF format.
